How does the event communication language work (emails, system messages, waiting room, etc.)?

The communication language in LiveWebinar (emails, system notifications, invitations, or waiting room messages) depends on several factors — mainly the browser language and the moment when the participant first registers in the system.

Here’s how it works:

  1. The participant’s language is set at first registration

When a new user registers for an event, LiveWebinar detects the browser language.

That language is then saved in the system database.

Example: a browser set to Polish → user saved as “PL”

a browser set to English → user saved as “EN”

From that moment on, all email communication (confirmations, reminders, etc.) will be sent in that language — even if the event or registration settings change later. (The language can be changed manually in the database if needed.)

  1. Does setting the registration form to English force emails to be sent in English?

Not necessarily. The registration form language only controls the form interface, not the language of the emails sent later.

The actual email language is determined by the participant’s browser language at the time of registration.

Example: If a participant from Poland fills out an English registration form but uses a Polish browser → all automatic emails will still be sent in Polish (PL).

  1. What language is used for invitations sent manually by the organizer?

The language of organizer-sent invites depends on the language chosen by the sender.

If the host selects English when sending invitations, the emails will go out in English, regardless of the participant’s preferred language stored in the database.

  1. Custom templates (own email content)

If your account uses custom email templates, you must prepare content in each language version you want to send.

If there’s no defined version for a given language, the system will send the default (standard) template.

  1. Waiting room and live interface

The waiting room language and in-room system messages are automatically detected based on the participant’s browser language.

The event host cannot manually set or override this language — it’s controlled by the browser environment only.

Example:

If a participant from Poland registers for a webinar in English for the first time (and their browser is set to English), then:

  • they will be saved as an EN user in the system,
  • all email communication will be sent in English,
  • all waiting room message
