Launching a new communication channel for medical representatives in the age of pandemics

The world was dealing with the COVID-19 pandemic as of March 2020, and the medical and pharmaceutical industries were among those that had to change the most their previous patterns of operation. Government restrictions affected many medical facilities, including hospitals and outpatient clinics.

Concerned for the public's safety and their own, medical representatives could not visit doctors directly at their offices. The industry had to implement new communication methods.

As EGIS Poland did not wish to shift the burden of all communication and sales to email, the challenge was to find an alternative that would quickly and effectively replace traditional meetings.

How LiveWebinar helped EGIS Poland implement and make the most of its online communication platform

The company sought to find an online communication tool that would allow its entire sales team - medical representatives - to connect effectively and safely with physicians and doctors.

As a result of pandemic restrictions, the team's existing structure (150+ people) made it impossible for it to work as a whole. Among the most critical decisions was the need to fast-track the implementation of a solution that would allow the existing marketing communication processes to be transferred online.

In the beginning of the pandemic, there was a real race against time. Those tool providers who were able to respond quickly and effectively developed significant advantages over their competitors. We see LiveWebinar as an example of such a platform. It is user-friendly and does not require any additional mobile or desktop applications. The WebRTC standard allows connections to be made directly through a browser. For us, the ability of hosting data and the option of a permanent room were equally important."

LiveWebinar stepped up to the challenge. The first lockdown started in 2020, and by May 2020, the online communication platform for the EGIS Poland team was ready and available for use. The actual implementation took about a month.

During the collaboration, the LiveWebinar team suggested several improvements to the platform's functionality. The rapid deployment of the tool was made possible by LiveWebinar's team of dedicated specialists.

Among the most important aspects for the software provider was the ability to fulfill formal and legal requirements. A key aspect of the joint analyses preceding the implementation was the creation of a physician identity verification gate on the LiveWebinar platform for accessing the virtual room.

Thanks to the implementation of the platform, each medical representative was able to make a quick appointment with a doctor, which is similar to a traditional meeting in terms of quality. Also, this method of contact often proves to be more effective, as doctors are more flexible in choosing a time and can meet "right now".

In terms of platform functionality, EGIS Poland appreciates the possibility of designing a permanent room, for the purpose of holding ad hoc meetings. It is convenient for users to use information materials assigned to these rooms, such as presentations or graphics.

EGIS Poland also places great importance on measuring the results of its sales teams’ activities. LiveWebinar’s reports provide a variety of data to measure and analyze predefined KPIs.

In addition to individual meetings, the tool works well for educational webinars, which can be attended by dozens to hundreds of physicians.
